Instruction for the presentations
Oral Presentations:
Presentations must be prepared in Microsoft PowerPoint and saved to a USB flash drive. The aspect ratio of the projection screen is 16:9. Please make your presentation slides with this aspect ratio. Computer information: Windows 10, Microsoft Office 2021 (the latest version). Please submit (transfer) your presentation file to the PC at the Welcome Reception Desk (4th floor, on April 21 evening).
Poster Presentations:
Authors will be notified of their assigned poster session time and expected to stand by their posters during this time. The size of the posters must be no larger than 90 cm width X 120 cm height (3 feet X 4 feet). We recommend an "A0" print size. Posters must be set up in the 1F Terrsa Hall from 5:00 pm to 8:00 pm on April 21 (Sunday), and remain up for the symposium duration. The hanging tools (pins/thumbtacks and transparent sticky tapes) for posters are prepared in the venue. Remove your poster after the closing ceremony on April 24 (Wednesday).

Registration Information
For individuals who will submit an abstract : Submit an abstract FIRST and prior to registering for the symposium. An abstract submission charge is due upon submission of an abstract and applies to the presenting author only. For ISHS Individual members, the abstract submission charge is fully waived. If you do not hold a user account with ISHS yet, you will be prompted to create an ISHS user account at https://www.actahort.org/members/newmember?asc=1. After payment and activation of your user account, you can start your abstract submission and you can register for the symposium at the discounted ISHS member fee.
Participant (ISHS member) fee : provides attendees with one copy of the abstract handbook during the symposium and unlimited access e-Acta Horticulturae (proceeding) that is published online post-event. The fee also includes Welcome Reception at Matsue Terrsa (Sunday evening), Refreshments (coffee/tea and snacks) during the symposium (Monday to Wednesday), Technical Visit I (Tuesday afternoon, including lunch), Gala Dinner (Tuesday evening), and Technical Visit II (Thursday, including lunch). You will need your ISHS member number to receive the reduced registration fees.
Participant (Non-ISHS member) fee : includes all of the above.
Student (ISHS member) fee : includes all of the above, except students will not receive free access to e-Acta Horticulturae. A certificate confirming student status is required to be submitted as a scanned copy to the Secretariat office at the registration. You will need your ISHS member number to receive the reduced registration fees.
Student (Non-ISHS member) fee : includes all of the above, except students will not receive free access to e-Acta Horticulturae. A certificate confirming student status is required to be submitted as a scanned copy to the Secretariat office at the registration.
Accompanying person fee : includes Welcome Reception at Matsue Terrsa (Sunday evening), Technical Visit I (Tuesday afternoon, including lunch), Gala Dinner (Tuesday evening), and Technical Visit II (Thursday, including lunch). The fee is not for use by co-workers and does not include participation in the symposium or symposium materials. The accompanying person is applied to 10 years of age and older. An adult must accompany all children under 18.
Excursion - Post Conference Tour - (optional) : is scheduled on Friday (Apr. 26). This optional tour is under preparation. Probably, we will visit the Okuizumo area where native Azalea grows naturally beside the mountain torrent.
VISA Information
Depending on your nationality you may be required to obtain a visa to enter Japan. Please apply for your Visa well in advance of your travel. As visa guidelines and application requirements vary considerably depending on the country, we recommend that you contact the Japanese embassy in your home country as early as possible to inquire about the specific visa regulations regarding your country. For your convenience, we need the following information to issue application forms:
1) Your name in English: First name, middle name, and family name for all delegates. It should be identical to those of your passport.
2) Gender
3) Nationality citizenship
4) Affiliation and job title
5) Birthdate
6) Your itinerary: Flight number, name of the airport, and the date and time of arrival/departure are mandatory. Also, we need your hotel name and day-by-day schedule through the period.
Applying for a visa can be a lengthy process and we strongly recommend starting this process early.
We are only able to issue the required documents for visa application to participants who complete registration and fully payment of the registration fee. Note that the visa refusal is no reason for a refund of the registration fee.
